Start with one repeatable task: subpoenaed-record summaries, medical indexing, or intake. The starting numbers below are hypothetical, not measured Workplex results or a price quote.
- Capacity recovered per month
- Labor value of that capacity
- Net modeled value per month
This is capacity valued at labor cost, not cash savings, profit, or new revenue. Payroll only changes if spending changes. Do not also count these same hours as avoided hiring or additional revenue. Negative results mean the scenario adds time or costs more than the labor value recovered.

What if faster work
means fewer billable hours?
For hourly work, that is a real trade-off. Faster preparation may reduce billable time. Capacity only creates additional revenue when your team can use it for available, paid work. Model collection rates, write-downs, and review effort before assuming more matters will offset the difference.
For flat-fee work, test cost per completed task or matter. Lower staff effort can improve the economics of long-running files, provided quality holds and software costs do not consume the benefit. Never count an hour saved twice.
For the firm, measure workload and service too. Avoided overtime, fewer backlogs, client-update turnaround, and capacity before the next hire can matter even when cash savings are zero. Agree on which outcome justifies the purchase.
ONE OPERATING PLAN, NOT ANOTHER SILO
Decide how it fits
before adding another bill.
Your case management, Outlook, document storage, and billing processes are part of the evaluation. A coexistence pilot should prove that records and reviewed outputs can move through the chosen workflow without ongoing double entry. We confirm system access, available interfaces, and export requirements before agreeing to that scope.
- Start alongside the current system. Choose a source of truth, document who owns each handoff, and test import and export with representative files. Existing software costs remain in the budget while contracts overlap.
- Prove the handoff and the permissions. Check view, edit, delete, field locks, and client-specific rules with the people who use them. Record manual steps as pilot effort.
- Make replacement a separate decision. If consolidation is the goal, scope billing, time capture, invoicing, collections, and firm reporting explicitly. Validate migration of open files before planning historical archives, with reconciliation and a fallback path.
This is the rollout plan to agree together, not a claim of a ready-made connector, full case-management replacement, or support for every archive size. Keep your current system until the agreed requirements are verified.

Pricing is scoped per firm. Request a written proposal that separates one-time implementation, recurring charges, usage assumptions, and any variable component. Agree the pilot budget, overage approval, and what happens at the end before work starts.
Give the pilot an owner on each side. Record current task time, source accuracy, correction effort, and total cost. Set the review date and the conditions to expand, adjust, or stop. Include your IT and billing teams early so the handoff does not become someone else’s extra work.
