How to Reduce Workers' Comp File Review Time

Ask a defense attorney where their week goes and the answer is rarely the hearing. It is the two thousand pages that arrived before it. Workers' comp file review is the work that makes every other task possible, and it is the work nobody has found a way to bill properly.

Speed is the wrong target

The instinct is to read faster, or to push the reading down to someone cheaper. Both have a ceiling, and both trade accuracy for hours. A reviewer moving quickly through a duplicated, out-of-order file is not saving time. They are deferring the moment someone has to go back and check.

Most of the page count is not evidence

Large claim files are mostly repetition: the same intake form filed four times, billing ledgers interleaved with clinical notes, fax cover sheets between every document. The reviewable substance is a fraction of the page count. The hours go into separating the two, and that separation is mechanical work a person should not be doing by hand.

Change what lands on the desk

The durable reduction comes from changing the starting condition. A file that arrives already split into documents, classified by type, ordered by date, and stripped of exact duplicates is a different job from a file that arrives as one scanned block. The attorney still reads. They read the part that matters, in the order events happened.

• Split the intake into discrete documents before anyone opens it.
• Classify by document type so a reviewer can go straight to the reports.
• Order clinical events by date of service, not by order of receipt.
• Collapse exact duplicates, and keep a record of what was collapsed.
• Link every extracted fact back to its source page.

Keep the citation, always

Any reduction in review time that also reduces traceability is a false economy. If an attorney cannot click a date and land on the page it came from, they will re-read the file to be sure, and the time comes back. The point of a first pass is to make the second pass short, not to replace it.
